Words in interfaces

Use words that help the task move forward.

Product writers need to connect interface language with the state of the user’s task.

A form rejects an entry with the message “Invalid value”. The system may know exactly what went wrong, but the person using it still has to guess what to change. Interface Writing Review studies language at these moments of action and uncertainty. It covers control labels, short instructions and feedback that help a task move forward. The subject is not writing more text everywhere; it is choosing words that fit the user’s current situation and the behaviour of the interface.

Name the action someone is about to take

An action label should help a person predict its result. “Save draft” and “Send request” communicate different commitments; a vague “Continue” may conceal a step that submits information. Review labels alongside the surrounding screen and the state reached afterwards. Keep essential meaning in the visible wording rather than relying only on a symbol. Where the action cannot be reversed easily, provide enough explanation before it happens for the user to understand the consequence, without turning an ordinary task into an unnecessarily alarming interaction.

Explain corrections at the affected field

An error message should identify the problem and the next useful action. For a date, show the expected format if format is the issue. If the service cannot process a valid entry, do not blame the user for entering it incorrectly. Preserve legitimate information where possible and connect feedback with the relevant control in the interface. Avoid exposing internal exception messages as customer guidance. The person needs an explanation they can act on, while support or developers may need a separate diagnostic record.

Keep instructions aligned with the actual state

Before submission, explain a requirement. While processing, describe progress without promising completion prematurely. After success, confirm what happened and any further action required. Test the wording with realistic content, long names and unfamiliar circumstances, because an apparently clear sentence may depend on assumptions hidden in a demonstration. This review connects labels, errors and help through practical interface cases. Useful product language lets people recognise their position and take the next step with fewer guesses about what the system means.
